Medical Receptionist - Allergy Department


The Allergy and ENT Receptionist at Otolaryngology Associates, PC is a key player in ensuring a smooth and positive patient experience. This role involves providing excellent communication and customer service while managing various administrative tasks. The receptionist will handle patient interactions, schedule appointments, verify insurance, collect payments, and assist with clerical duties to support the Allergy and ENT departments. Patient Interaction & Communication:
  • Provide a warm and welcoming first impression for patients arriving at the clinic, greeting each patient and guest with a smile.
  • Manage incoming calls, answer questions, and direct calls to the appropriate staff or departments. Check voicemail and return calls or send messages to the relevant team members.
  • Regularly check and respond to patient emails throughout the day.
  • Coordinate appointments for both ENT and Allergy patients.
  • Ensure accurate patient information and insurance details are recorded and verified prior to appointments.
  • Process patient payments, including co-pays and other fees.
  • Answer patient inquiries regarding allergy tests, first-dose procedures, vial testing, allergy shots, and any ENT-related appointment questions.

Administrative & Clerical Tasks:
  • File, scan, and update patient information in electronic patient charts.
  • Assist with preparing new patient forms, allergy test information packets, instructions for allergy tests, and any other necessary documentation.
  • Handle incoming and outgoing mail, faxes, and other forms of communication.
  • Ensure the reception area is clean, organized, and welcoming for patients.
  • Provide general administrative support to the office manager and physicians as needed.

Key Skills and Qualifications:
  • Strong written and verbal communication skills for effective interaction with patients and staff.
  • Ability to manage multiple tasks, prioritize effectively, and maintain an organized workspace.
  • Friendly and helpful demeanor to create a positive patient experience.
  • Experience with EHR systems is often required or preferred.
  • A basic understanding of medical terms and procedures is helpful.
  • Capability to handle multiple tasks simultaneously in a busy, dynamic environment.
  • Ability to work collaboratively with other staff members to ensure smooth clinic operations.

Job Type: Full-time
